Who looks after your information
Mediatopia Solutions Limited, trading as Pooky Dog, is responsible for your personal information (the “controller”). Pooky Dog is a trading name of Mediatopia Solutions Limited, registered in England and Wales, company no. 07351080. Registered office: 12 Whiteladies Road, Bristol, BS8 1PD. What we keep, and why
- Your account: name, email and password (stored scrambled), so you can sign in and we can tell you about your bookings and orders.
- Your dogs: what you tell us (name, breed, size, coat, age, notes, photo), so businesses know who they’re caring for and the search shows the right ones.
- Bookings, orders and payments: what you booked or bought, when, the price and any refund. Card details go to Stripe, never to us.
- Delivery address: for shop orders, shared with the seller who posts them.
- Requests to businesses not yet on Pooky Dog: what you asked for, your dog, and your name, email and phone. We keep them until the business claims its page, then pass them on, because you agreed to that when you sent it. If it hasn’t claimed within 48 hours we email you businesses near you who can book. You can cancel a request at any time, and we delete any request after 30 days.
- Messages and reviews: what you write to businesses (email addresses and phone numbers in messages are hidden), and reviews you leave.
- Your searches: what you last looked for and where (a town or postcode), so we can take you back to it.
- Email choices: which reminders and offers you’ve said yes or no to, and when.
- Who’s visiting: when a page is visited, we note the page and the internet address the visit came from. We look up the organisation that owns that address using ipapi.is (it names a company, never a person). Then we delete the address, within 7 days at most, and keep only a scrambled code made from it and the company’s name, so a business can see which companies looked at its page. Visit records are deleted after 12 months. We do this in our legitimate interest in showing businesses who’s interested in them; it uses no cookies.
- Businesses: business and contact details, and the checks needed to go live (identity through Stripe, insurance, licences).
We use it to run Pooky Dog and the bookings and orders you ask for (our contract with you), to meet legal duties such as keeping payment records, for our legitimate interests in keeping the marketplace safe and improving it, and, for marketing emails, with your consent or as a past customer who hasn’t said no. Every marketing email has a one-click unsubscribe.
Businesses we list before they join
To help dog owners find local dog services, we list some businesses that haven’t joined Pooky Dog yet, marked “Not yet claimed”. A listing shows the business’s trading name, the town it’s in, what it does, and its business phone number and website. It shows a street address only if the business publishes it itself. It can’t be booked, and we never say we’ve checked it.
The details come from public sources only: Companies House, OpenStreetMap (© OpenStreetMap contributors), councils’ public registers of licensed animal businesses, and the business’s own website. We never show a company’s registered office or anyone’s home address, and never a person’s name. We do this in our legitimate interest in helping owners find local dog services, which we’ve weighed against the interests of the businesses listed. We may email a limited company about its listing, at the email address it publishes for the business; every such email says who we are and how to stop them. To address that email, we use a director’s first name from Companies House (“Hi Sam”); we never show it on the listing.
If it’s your business, you can claim the listing free from its page, or remove it there straight away, with no account needed. Once it’s removed, we won’t list it or contact it again. To keep that promise we keep a short record of the request: the business’s name, its company number, phone number, website and postcode, and the contact details or reason given. We keep this record for as long as we list businesses, so the promise holds. You can object to being listed at any time; removing the listing does that.
How long we keep listing and email records
- A listing: while it’s listed. Removed, it comes off the site at once, and our working copy goes within a day, leaving only the short record above.
- Businesses we’ve found but not listed: 12 months, then deleted (unless we’ve noted they aren’t a dog business, so they don’t come back).
- Emails we’ve sent a business about its listing, and its replies: 2 years from each email, then deleted.
- Page views and clicks on a listing: 12 months.
- Requests from dog owners to a listing: 30 days at most (above).
Who sees it
- The business you book or buy from: your first name, your dog’s details and notes, and (for shop orders) your delivery address. Never your email or phone number.
- Stripe (payments, and identity checks for businesses).
- Supabase (our database, in London), Vercel (runs the website, in London) and Cloudflare (our web addresses, and forwarding emails sent to us).
- Our email provider, which sends our emails to you.
- The police or others, only where the law requires it.
Some of these companies are based in the United States; where your information goes there, it’s protected by the UK’s approved safeguards. We never sell your information.
How long we keep it
While you have an account. Delete it from Your account (or ask us to) and we delete your details, your dogs and your messages. Your past bookings and orders stay on the businesses’ records without your name, because the law makes us keep payment records (usually 6 years); your reviews stay, as “Former customer”.

Your rights
You can ask for a copy of your information, to correct or delete it, to object to or limit how we use it, or to have it in a form you can take elsewhere. Email us and we’ll reply within a month. If you’re not happy with how we’ve handled it, you can complain to the Information Commissioner’s Office: ico.org.uk.
